SUMMARY

Operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel, and greets customers and vendors, by performing the following duties.

LANGUAGE / COMMUNICATION SKILLS

Requires good communication skills, including listening, with external and internal customers

Bilingual preferred

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Retrieves messages from voice mail and forwards to appropriate personnel.

  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

  • Answers questions about organization and provides callers with address, directions, and other information.

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

  • Monitors visitor access and issues passes when required.

  • Creates and prints memos, correspondence, reports, and other documents when necessary.

  • Performs other clerical functions as needed, such as filing, photocopying, collating, and mailroom duties.

  • Processes special mail outs as necessary from Marketing or Sales

  • Responsible for coordinating EMT calls

  • Responsible for keeping keys for various areas of the company

EDUCATION and/or EXPERIENCE

In-depth knowledge of PGT organizational structure

In-depth knowledge of job responsibilities of company personnel

 

LANGUAGE / COMMUNICATION SKILLS

Requires good communication skills, including listening, with external and internal customers

Bilingual preferred

 

MATHEMATICAL SKILLS

No special skills required

  • Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing.

  • Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.

  • Must be able to work at work station for extended periods of time

  • The position requires consistent daily attendance to provide the necessary level of customer service

     

    TRAVEL REQUIREMENTS

    Ability to travel occasionally domestically

     

    Occasional: activity exists less than 1/3 of the time.

    Frequent: activity exists 1/3 and 2/3 of the time.
