SUMMARY:

The Training Coordinator, under the supervision of the Training and Development Manager, is responsible for administrative duties needed to support PGTU-Workforce Development activities and goals.  The incumbent’s responsibilities include planning, scheduling, registration, tracking, reporting, communication, coordination and logistical support to help ensure smooth and efficient implementation of training and development activities.  

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

  • Enter and maintain training-related data in SAP-- from setting up new programs in system, to planning/scheduling, pre-booking, booking, wait-listing, canceling and other registration functions.  Edit SAP e-mail correspondence to fit program needs.  Communicate registration processes to appropriate people; answer questions, troubleshoot as necessary.  Conduct course follow up to include records/statistics compilation, documentation, and reporting. 
  • Input historical training records into SAP.  Oversee and/or perform ongoing maintenance, record keeping, monitoring, tracking, reporting and follow-up of PGTU-WD course and attendee information.  Use system to identify upcoming compliance training needs, particularly where applicable to certifications, licensures and audits.  Coordinate with manufacturing trainers and assist as needed with tracking and reporting of recertifications, cross training and safety/compliance training.
  • Assist with set-up and maintenance of SAP’s Qualifications and Business Events/Training catalogs to ensure accurate, complete and current information.  Learn Employee Self-Service and Manager’s Self Service functions and field questions to ensure their efficient, proper use.  Provide guidance to departmental training administrators. 
  • Handle all logistical aspects of program planning including scheduling of rooms, facilitators, attendees, and equipment.  Maintain regular and open communication with facilitators and participants to manage attendance, keep programs on track and ensure smooth implementation.  Working with Meeting Coordinator and/or IS, ensure rooms are set up properly with needed equipment, A/V, materials, supplies, refreshments, etc. 
  • Organize and handle inventory of materials, supplies, catalogs and files related to PGTU-WD; reorder as required.  Process related invoices and paperwork.  Create and manage check-out/inventory system for library of books, tapes, videos, etc.  to be used for development purposes.
  • Assist in layout and editing of training and orientation materials (slides, handouts, manuals, forms, etc.). Review all written materials – including Employee Handbook and Policies and Procedures Manual -- regularly to ensure they are accurate and current; initiate updates, draft, route for approval and finalize as needed.  Draft training-related communication/correspondence as needed.  Coordinate cost-effective and efficient production, duplication and distribution of handouts and manuals.
  • Coordinate with external facilitators/vendors to identify and meet their needs for logistical support.
  • Assist as needed with researching and/or coordinating external technical and professional seminars and courses for leaders/employees.  Where applicable, review/process Tuition Reimbursement requests before and after course completion to ensure accuracy and compliance, seeking next level clarification/approvals when needed.
  • Regularly and proactively review departmental processes related to training/development and orientation; make and implement recommendations to improve efficiencies and effectiveness. 
  • Provide prompt, courteous service to internal customers.  Suggest enhancements to processes and procedures based on customer feedback.
  • Work closely with Training Specialist and Training and Development Manager and assist with projects as necessary.  Schedule departmental appointments, meetings, rooms and participants as requested.  Provide administrative support upon request.

SKILLS AND ABILITIES:

EDUCATION AND EXPERIENCE:

  • Related education or degree preferred.
  • 2-4 years experience in role as Human Resources or Training coordinator/administrator (or related position).
  • Knowledge of HR information systems (SAP, Lawson, PeopleSoft) and related processes strongly preferred.

PHYSICAL DEMANDS/WORK ENVIRONMENT:

Usual office environment involves frequent* sitting and occasional* walking, stooping, kneeling, and standing.  Frequent* use of eye, hand, and finger coordination enabling the use of office machinery including telephone, personal computer, copy machine, facsimile machine, and 10-key calculator.  Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.  Ability to move from department and buildings to attend meetings, and interact with employees.

*Frequent: activity exists 1/3 and 2/3 of the time.
